Tidying up your workspace can be challenging but doing a little bit each day is an effective way to tackle the task.
It’s no secret that clutter leads to disorganization, which leads to stress and lower productivity. What’s more, your brain has to work harder to find things when they are not in their “home.” The good news is simple steps can be taken to create a more organized workspace that will increase your productivity and reduce stress levels.
On August 19, 2021, I was invited by Luenthai Group to host a workshop for their employees. In the one-and-a-half-hour workshop together with the employees we discussed and demonstrated how to develop simple habits to increase work efficiency.
Before you begin organizing your space, it’s important to think about what matters to you and how this can be reflected in the design of your workstation. Set an intention to only choose things that contribute to your happiness and that bring functional joy.
Decluttering is an important first step in any organization project. When it comes to your office, if you don’t deal with a lot of paper on a day to day bases, you can aim to declutter every 6 months or so.
If your position requires you to handle a lot of paperwork, you may need to declutter more often. There are no hard rules for when you need to declutter, but if you feel anxious walking into your workspace and you feel your productivity starts to dwindle, it may be a good sign it’s time to declutter your surroundings.
When decluttering, ask yourself what you use and what you no longer need. The goal of a decluttering is not to get rid of everything that you don’t use, but rather to organize the things that you want to keep. A good motto to remember is if something doesn’t fit into your office, get rid of it.
In order to kickstart a new organized version of your office, you must create a system that works for you.
Cultivating a system allows you to understand why you need to maintain your new good habit. It will motivate you to regularly declutter your workspace and give you the opportunity to see how much your system is helping you.
The key to any successful organizing project is knowing where your items go. It’s important that you create a place for everything in order for it to be easily accessible. Things should not be stored in random places like in a pile on your desk or on your shelf.
I regularly use storage bins, containers and baskets to effectively manage and store all of the items in my office. I then label each one of them to make them accessible, not only for me, but for the organization at large.
Now that you have a system in place, you need to regularly use it. If you don’t use your system, it’s very easy to slip back into disorganization.
Be receptive to how other aspects of your life start to change as a result of your new organization habit and improved work structure. Don’t be afraid to adjust your system as needed and let it evolve with your needs over time.
Overall, my workshop today was a success. Not only did I have so much fun but I’m confident that the techniques I shared will help attendees have a better grasp of how to tackle this challenge in their own offices.
As a parting thought, remember that when organizing your office, you must look at it as a practice and not a project. Organizing takes a lot of time and energy, so ask for help if you’re struggling.
